For customers shipping goods from outside the European Union to the Netherlands
To ensure that your goods can be imported for repair and subsequently returned to you without unnecessary customs charges or delays, please carefully follow the instructions below.
1. Prepare a Commercial Invoice / Proforma Invoice
Every shipment must include a Commercial Invoice or Proforma Invoice containing the following information:
- Sender details: Full company or personal name, address and contact details.
- Receiver details: Our company name and complete delivery address.
- Description of goods: A clear description of the product or component being sent for repair.
- Serial or identification number: Include the serial number, model number or another unique identification number, where available.
- Customs value: Declare a realistic value of the defective goods in the correct currency. Do not automatically declare a zero value.
- Reason for shipment: Clearly state that the goods are being sent for repair and will be returned to the sender.
2. Mandatory customs declaration
Please include the following statement on your Commercial Invoice / Proforma Invoice:
"Defective [product name] sent for repair and return under Inward Processing. Not for sale."
For the declared value, include:
"Value for customs purposes only."
3. Inform your shipping company
Before shipping, inform your chosen carrier or freight forwarder that:
- The goods are being temporarily imported into the Netherlands for repair.
- The goods are not being sold or permanently imported.
- The goods are intended to be returned to the original sender after repair.
- Customs clearance under the Inward Processing procedure must be coordinated with the receiving company before import clearance.
You may use a shipping company of your choice, provided it can arrange the required transport and customs documentation.
4. Include the necessary documents
Please attach the Commercial Invoice / Proforma Invoice to the shipment and provide any additional copies or electronic documents requested by your carrier.
Make sure all product descriptions, identification numbers and declared values are accurate and consistent.
5. Contact us before shipping
Please send us a copy of the completed invoice and the shipment details before dispatch.
We can then check the documentation and coordinate the intended customs procedure before the goods arrive in the Netherlands.
Important: Incorrect or incomplete customs documentation may result in delays, additional charges or import duties and taxes. The Inward Processing procedure is subject to customs approval and applicable conditions.
Thank you for your cooperation.
